We mostly talk to ourselves

The audience we speak with the most are members of our teams, departments, or portfolio. We typically work with these audiences to coordinate work across the VPFO.

Can you give me some examples?

When you’re planning your communications, think about what kinds of groups you might need to share information with. For example:

  • Is it an entire department, like Building Operations?
  • Or just a team within Building Operations?
  • Or is it a group of people that do a particular job within Building Operations, like administrators, who may not be contained within the same team?

These are all separate audiences. Understanding who it is that you’re sharing information with is a critical step in good communication. Here are some other examples:

UBC Facilities UBC Facilities has nine departments including Asset Replacement & Improvement, Building Operations, Capital Planning & Development, Custodial Services, Customer Services & Informatics, Energy & Water Services, Facilities Planning, Municipal Services, and Project Services. If you’re contacting this group make sure that your information is relevant for the full audience.
Payroll team This is a discrete team of individuals that works in the Financial Operations department, so figuring out how to reach this group should be pretty straightforward. They all work in the same location and have various cycles that impact how busy they are, so knowing when to contact them might impact the success of your communication.
Administrators Administrators work across all teams and departments of the VPFO, and their roles can vary from position to position. There may not be a reliable way to make sure you’re capturing every administrator in the portfolio with your message, so choose multiple channels to reach this audience that might get them the information in different ways.
